Westminster Canterbury of Lynchburg

Four residential buildings, a 5-star health center and the most transparent fee schedule in the region — and the website tells Google and the AI engines almost none of it.

How we read any data set

Three questions we ask — of a website, a census report, or a 990

Same discipline we use on a Power BI board: observe what is actually there, connect the observations into the few things that matter, then decide in order of return.
01 · Observe

What is actually on the page?

We crawled wclynchburg.org page by page — titles, headings, word counts, robots.txt, sitemap, structured data, links — and then read how Google, A Place for Mom, Seniorly and the other directories describe you when someone searches in Lynchburg.

02 · Connect

Which observations share a cause?

Six findings are easy to list. The useful part is noticing that four of them are the same problem wearing different clothes — and that fixing the cause is cheaper than fixing the symptoms one by one.

03 · Decide

What is worth doing first?

Every action is sized by effort and return, sequenced into a first 90 days, and tied to a number you would see on a monthly page — so the work is judged the way you judge occupancy, not by activity.

"Westminster Canterbury has already done the hard part: the content, the awards, the ratings and the prices exist. Most of this review is about letting the site say so."

Executive summary

Six findings, one thread

1
No dedicated page for assisted living, memory care, nursing, rehab or home care. Critical
All six service lines are anchor sections of one ~1,200-word page. Westminster Canterbury is absent from page one for "assisted living Lynchburg VA" and "memory care Lynchburg VA"; The Summit, Heritage Green and Runk & Pratt are not.
2
No structured data — so directories define you to AI engines. High
Zero JSON-LD on the homepage or About page. MyCaringPlan calls you a "Nursing Home" at "$7,349/mo" for a studio; FamilyAssets says "assisted living from $2,500". Robots.txt lets every AI crawler in, but there is nothing machine-readable to read.
3
Pricing exists only as a PDF. High
The 2026 fee schedule is unusually transparent ($2,182–$6,484 monthly) — and invisible to search and AI answers because it is not an HTML page.
4
Homepage basics: title, H1s, alt text, sitemap dates. Medium
Title is just "Westminster Canterbury Lynchburg"; multiple H1s; 6 of the first 8 images have empty alt; sitemap has no lastmod on any of 70 URLs.
5
Template leftovers: the Instagram icon links to a South Carolina community; the Gallery is empty. Medium
instagram.com/theseabrookofhhi (The Seabrook of Hilton Head) sits in the footer of every page; /gallery/page returns "No items found" in all four categories.
6
Awards and leadership are under-told. Low
Newsweek three years running, 5 CMS stars, a 16-year CEO — in 35–180-word news posts with no quotes, schema or links to the service pages they should lift; leadership page has no bios.
The thread

The site does not say what Westminster Canterbury is — so other people do.

Search engines and AI assistants build their description of a community from whatever is clearest and most structured. Today that is Seniorly, MyCaringPlan and A Place for Mom, not wclynchburg.org. Findings 1, 2, 3 and 6 are one cause: the best facts about the community — its levels of care, its prices, its ratings — are not published in a form a machine can cite.

Findings 4 and 5 are a second, smaller cause: template debt from the site build that a visitor reads as carelessness.

Two causes. About eight weeks of focused work. Measurable on a monthly page.

Finding 1 · Critical

One page carries six service lines — so none of them can rank or be cited

Evidence

/health-services ~1,200 words, 6 anchors #assisted-living Hearthside · ~200 words #memory-care Memory support · ~200 words #health-care-center Drinkard · ~200 words · no bed count #short-term-rehab ~200 words #outpatient launched Sept 2023 · ~200 words #at-home points to westminsterathome.com /residences ~2,800 words · 35 floor plans (strongest page) respite care no page, no mention
  • The Summit, Runk & Pratt, Heritage Green and Bentley Commons each publish a separate assisted-living page; Heritage Green's /memory-care/ page is the top organic result for memory care in Lynchburg.
  • The therapy lead-gen page is titled "More information about WC outpatient therapy services" — a form, not a page that can rank.

What it means

Families searching for assisted living or memory care in Lynchburg are handed a list that does not contain a 5-star, Newsweek-ranked nonprofit two miles away. The direct-admit lines — 40 Hearthside beds, 14 memory-support beds, 80 certified nursing beds — fill from those searches and from hospital discharge planners who also search.

The fix

Five pages, each 700–1,000 words, built from content that already exists on /health-services and in the fee schedule: Assisted Living at Hearthside · Memory Support · Drinkard Healthcare Center (long-term nursing) · Short-term Rehab & Outpatient Therapy · Westminster at Home. Each with its own title, one H1, its phone line, a "schedule a visit" form, the CMS stars where they apply, and FAQ schema.

Effort: ~3 weeks of writing and build. Return: the only route onto page one for the two highest-intent queries in the market.

Seniorly"12–16 hour nursing" · 7.3/10 · pushes an 855 advisor line
Reality (2026 fee schedule)Life Plan Community · IL monthly fees from $2,182

What it means

AI assistants and Google's AI Overviews assemble an answer from the most structured, most consistent sources they can find. Right now the consistent sources are wrong, and the right source — your own site — is prose with no labels. Every AI crawler is allowed in; there is simply nothing for it to quote.

The good news is the order of difficulty: the site already has the facts. Marking them up is a matter of days, not a redesign.

The fix

Organization + LocalBusiness schema sitewide (name, address, phones, founding date, sameAs to LinkedIn, Facebook, CMS provider 495120); MedicalOrganization on Drinkard's page; FAQPage on /become-a-resident and each service page; Offer/priceRange on the pricing page (Finding 3). Then claim and correct the four directory listings with the same facts.

Finding 3 · High

The most transparent pricing in the market is locked in a PDF

Evidence

Combined_2026_Fee_Schedules_Single_Pages_ForWeb_10.1.25.pdf linked from /become-a-resident ("View Fee Schedules") entrance fees + monthly fees · every floor plan Fee-for-Service (Traditional / 50% / 90% refund) + LifeCare Unlimited monthly fees 2026 ............ $2,182 – $6,484 second person (FFS) .......... $1,022 / month HTML pricing page ............... none

Of the four local competitors, only The Summit publishes a "Floor Plans & Pricing" page. Runk & Pratt, Heritage Green and Bentley Commons publish no prices at all.

What it means

"How much does it cost" is the first question every adult child types. A PDF cannot answer it in a search snippet, an AI Overview or a chat assistant — so the answer families see is MyCaringPlan's invented $7,349. You are paying the reputational cost of an expensive-looking number while actually publishing one of the most complete fee schedules in Virginia.

The fix

A /pricing page that mirrors the PDF: a "monthly fees from $2,182" headline, a table by building (Brookhaven, Creekside, Riverside, Woods Edge, cottages) and contract type, a plain-English explainer of the three refund options, Offer schema, and the PDF kept as the download. Refreshed each October when the schedule changes.

The pricing page also becomes the source of truth for the website assistant described on page 15.

Finding 4 · Medium

Homepage basics: the title, the headings, the alt text, the sitemap

Evidence

<title> Westminster Canterbury Lynchburg (no "Life Plan Community", no "Virginia", no service words) H1 ×4+ YOUR NEW BEGINNING · LIFE YOUR WAY · Riverside Apartments · Health Services … alt="" 6 of the first 8 homepage images the 2 populated read like auto-captions ("a woman helping a woman with a walking stick") sitemap 70 URLs · 0 <lastmod> · includes /search (which robots.txt blocks) /about-us H1 "About US" · /privacy-policy H1 is the brand name

What it means

None of these is dramatic on its own; together they tell Google the site is not being tended. The title tag is the single most-weighted on-page signal and currently spends it on words you already rank for. Empty alt text is an accessibility gap for the exact audience — older adults and their families — most likely to use a screen reader or high-contrast mode.

The fix

  • Title: "Westminster Canterbury of Lynchburg | Life Plan Community (CCRC) in Lynchburg, VA"
  • One H1 per page; the rest become H2s (a Webflow class change)
  • Descriptive alt text on every image, written by a person
  • Sitemap with lastmod dates; remove /search; fix "About US"
Effort: one to two days. Return: modest on its own, but every other finding depends on Google trusting the site.

Template leftovers: an Instagram link to Hilton Head, and an empty gallery

Evidence

footer (every page) Instagram icon → instagram.com/theseabrookofhhi/ = The Seabrook of Hilton Head, South Carolina /gallery/page (top navigation) Independent Living ..... "No items found" Health Services ........ "No items found" Community Life ......... "No items found" Campus ................. "No items found" meta generator: "Tandem Senior Living Advisors"

What it means

The Instagram link is the kind of thing a prospective resident's daughter notices and a board member is embarrassed by. The gallery is worse in a quieter way: a 52-acre wooded campus with a nature trail, three dining venues and four apartment buildings is a visual sale, and the one page built to show it is blank.

The fix

Point the icon at Westminster Canterbury's own Instagram (or remove it). Populate the gallery from the campus and resident photography that already exists on other pages — or fold the gallery into the new service pages and retire the empty URL with a redirect.

Effort: hours. Return: credibility, which is the currency of a Life Plan contract.

Cadence is good — six posts March–August 2026. Depth is the gap.

What it means

Search engines and AI models weigh experience, expertise and authority signals. A nonprofit founded in 1980, CARF-CCAC accredited, with a licensed-NHA CEO of sixteen years and a 5-star health center has more of those signals than any competitor in Lynchburg — and publishes fewer of them. The Newsweek story should link to the service pages it validates; today it links to nothing.

The fix

A 400–600-word template for award and news posts (quote from Sean or Marianne Sanford, what the award measures, link to the relevant service page, NewsArticle schema). Leadership bios of 80–120 words each. A "Recognition" block on the homepage that carries Newsweek, CMS and CARF with dates.

Problem A · findings 1, 2, 3, 6

The site doesn't say what you are, so others do.

Levels of care, prices, ratings and history all exist — as prose on one page, as a PDF, as thin posts. Publish each as its own page with machine-readable labels and the directories, Google and the AI engines start quoting you instead of guessing.

An idea, not a requirement

A website assistant that answers from your own content

wclynchburg.org has no chat or assistant today. Four phone numbers and a contact form carry every question — including the ones asked at 9 pm by a daughter in Richmond.

Once the service pages and pricing page exist (actions 1–2), the same content can power an assistant that answers "what does a one-bedroom in Riverside cost?", "is Hearthside open to people who don't live here?" or "what's the difference between LifeCare and Fee-for-Service?" — and hands the conversation to Trish Chapman's team with the question already asked.

  • Runs on a private AI server inside your network; it reads only pages you approve and never learns from visitor data
  • Every answer cites the page it came from, so a wrong answer is a content fix, not a mystery
  • Questions it cannot answer become the list of pages to write next

Then the question changes

Once the website is telling the truth about the community, the monthly page starts asking the next question: which service pages generate inquiries that become move-ins — and that is where the website report meets the census board.

The larger opportunity

The same discipline, pointed at the whole community

The website is the visible edge of the data Westminster Canterbury already holds. The executive board that accompanies this review shows what the rest looks like when it is connected.
Census

From 262 units to one number

Occupancy by building and level of care against the 96.2% budget assumption, Canterbury Club waitlist depth, days-to-fill, and the LifeCare flow from IL to Hearthside to Drinkard — refreshed weekly, not at the board meeting.

Clinical

Keeping five stars visible

Falls per 1,000 resident-days, rehospitalisation, nurse hours per resident day (5.87 vs. Virginia's 3.8) and the CMS quality measures that move the fourth star — tracked before the survey, not after it.

Workforce

420 people, one view

Turnover by department, agency hours, overtime concentration and open positions from Paylocity, on the same page as census — so a staffing decision is made with the occupancy it serves.

Financial

$38.7M, by line and payer

Revenue by level of care and payer, labour cost per resident-day, operating margin and days cash on hand against the Series 2016–2021A bond expectations, in the same visual language as the census page.

Who we do this for
